Vendor Management Specialist

Purpose of the Job:

The Vendor Management Specialist facilitates and manages relationships between our organization and vendors, negotiates contracts, establishes vendor standards, and sources optimal vendors. This role involves developing and maintaining an efficient tendering and contracting lifecycle for products and services to ensure cost-effectiveness, quality, and protection of company interests. The specialist supports, assists, and actively participates in all aspects of vendor and contract management.

Key Responsibilities:

  • Coordinate effectively between multiple vendors and internal departments to ensure seamless contracting processes.

  • Manage vendor interactions, maintaining strong relationships with both new and existing vendors.

  • Identify, evaluate, and select suitable vendors, negotiating favorable pricing and terms while ensuring vendors meet contractual obligations.

  • Oversee high-value and complex procurement activities, including capital expenditure contracts.

  • Develop and sustain long-term relationships with approved vendors.

  • Review, negotiate, and draft contracts in collaboration with internal stakeholders and vendors for product and service delivery.

  • Prepare and review exceptions to tender documents and RFQs.

  • Develop and manage contracts ensuring compliance with established procedures and guidelines.

  • Conduct comprehensive market research to identify vendors offering optimal pricing and superior quality.

  • Ensure tender and contract documentation aligns with approved procurement strategies.

  • Act as a liaison between contractors and internal departments, tracking market developments and identifying alternative supply sources.

  • Implement and manage vendor selection programs to guarantee the engagement of the best vendors.

  • Contribute to the creation of operational guidelines aligned with contracting and procurement policies.

  • Evaluate existing vendor management practices, recommending and implementing improvements.

  • Perform thorough market analysis and demonstrate robust negotiation efforts to optimize value.

  • Collaborate proactively with the Legal Department to mitigate contractual risks effectively.

  • Uphold high standards of integrity and ethical conduct in all interactions and business dealings.

Minimum Qualifications:

  • Bachelor's Degree in a relevant discipline.

Skills & Knowledge:

  • Demonstrated experience in vendor management, procurement, or related roles.

  • Advanced understanding of national contract law and sound legal knowledge.

  • Exceptional negotiation, analytical, problem-solving, and organizational skills.

  • Proficiency in managing vendor conflicts and resolving disputes effectively.

  • Ability to perform under pressure and meet tight deadlines.

  • Capable of independently planning, organizing, and managing tasks and initiatives.

  • Basic understanding of IT solutions and industry best practices.

  • Strong communication and interpersonal skills, capable of mentoring team members towards achieving collective goals.

  • Fluent proficiency in English & Arabic (reading, speaking, writing, and listening).
